As a Financial Operations Associate at Milestone, your job is to ensure that everything runs smoothly on the settlement administration and financial operations sides of our business. Whether it’s performing banking and clerical tasks, organizing important mailings, or problem-solving whatever comes your way, you’re an integral player on the team and directly contribute each and every day to our company’s overall success.

Key Responsibilities Include:

  • Provide support to the operations, finance, and settlement administration departments
  • Process and coordinate all settlement distributions
  • Support team with mass tort claims and file management
  • Monitor check inventory and place supply orders
  • Track daily settlement fund operations and report or resolve issues
  • Collaborate with the team to determine priority of needs and how to triage projects
  • Audit and interpret data
  • Manage client-related distributions
  • Assist with data entry and other administrative tasks
  • Manage bank account procedures, including opening and closing accounts and overseeing transactions, including setting up ACH and wire profiles
  • Uphold confidentiality and handle confidential material and information professionally
  • Oversee company projects as needed
  • Assist accounting department with invoicing and other banking/accounting-related responsibilities; handle remote check deposits


  • Bachelor’s degree (finance, business administration, or a related field preferred)
  • Working knowledge of banking practices, rules, and regulations
  • QuickBooks experience preferred
  • 3+ years’ experience in an office setting
  • Proficiency in MS Office – Microsoft Outlook, Word, Excel, and Mail Merge
  • The ability to be agile and react quickly to changing priorities
  • Not low, not medium, but HIGH attention to detail & administrative skills
  • A keen sense of urgency/time management relating to all duties
  • Excellent written and verbal communication skills
  • NY Notary preferred but not required

Job Specs and Details:

  • Hours: Monday to Friday 9-5
  • Salary commensurate with experience
  • Office located in Buffalo, New York (this position is HYBRID – some days in office, some at home)
